Most businesses have one question that arrives before all the others — how much, which one, or will it fit. A tool answers it on the site, in the visitor's own numbers, without them having to ask and then wait.

    Every additional question loses somebody. Ask only what the answer genuinely depends on.
  2. Apply your rule

    Your own pricing, sizing or eligibility logic, written down explicitly enough to be implemented rather than interpreted.
  3. Return a result they can use

    Specific, and clear about what it covers and what it leaves out.
  4. Offer the obvious next step

    Usually sending the result to you, or keeping a copy of it.

What has to be defined before development

A tool cannot be built from an approximate rule, and this is the part only you can supply.

  • The exact formula, table or logic — including the cases you currently handle by exception.
  • Every input, its units, and which values are and are not allowed.
  • What the result is called, and what it explicitly does not include.
  • What happens when the honest answer is “it depends” — a range, a caveat, or a prompt to get in touch.
  • Where the numbers come from, and who updates them when they change.

When a form is enough

Where the answer depends mostly on things only you can judge, a tool either oversimplifies it or asks so many questions that nobody reaches the end. A short form and a real reply is the better version of that, and honest about how the answer is actually arrived at.

The question worth asking is whether you could answer it yourself from the visitor's answers alone, without looking anything up. Where you could, a tool can. Where you could not, it should not pretend to.
