When one of these websites moves, the pages are the visible half of the job. The files attached to them are the half that breaks.

They are linked from other organisations, named in letters, saved as bookmarks and quoted in handbooks, and they rarely appear in anybody's migration plan.

What a migration audit of the files finds

Almost always more than anyone expected.

  2. How many are three versions of the same document under different names.

  3. How many are years out of date and still linked from a current page.

  4. Which ones other organisations link to directly, and therefore cannot simply be moved.

The decision for each one

Four outcomes, taken once per group rather than once per file.

  • Move it and keep its address

    For anything current that is linked from outside. The expensive option, and sometimes unavoidable.

  • Move it and redirect the old address

    The usual answer, provided somebody is willing to test that the redirects actually work.

  • Replace it with a page

    A great many documents are only documents because that was easier at the time.

  • Retire it

    With a recorded decision about what somebody following an old link should be shown instead.

What has to keep working afterwards

Anything the organisation tells people to find — a form named in a letter, a policy referenced in a handbook — has to resolve on the day of the switch rather than the week after. That list is worth writing down before anything moves.

It is also worth agreeing who replaces a file from now on, and where it goes. A migration solves the accumulated problem once; without that agreement the same pile reassembles.
